Super Agency Administrators can reassign clients between subagencies and to different staff members. Please contact the Super Agency Administrator for your agency if you need your clients reassigned to another subagency or staff member.  


When a client is reassigned, all of their assignments are retained.  There are a couple of scenarios in which a client can be reassigned:

 

The client is transferred to a different subagency and/or staff member:

  • Click the “Clients” tab.  
  • In the dropdown menu, click “Manage Clients”
  • Locate the client you wish to reassign and click the blue “Manage” button.
  • On the client’s “Manage Client Assignments” page, click the “Edit” button to the right of the client’s name.
  • In the “Edit Client Information” window, locate:
    • the "Select Sub-Agency" drop-down menu to change the subagency the client is assigned to
    • the “Assigned Staff” drop-down menu to change the staff member the client is assigned to.
  • After the reassignment selections have been made, click “Save.”
  • The client will be reassigned to the newly selected subagency and/or staff member.   The selected staff member will see the client listed on their “Manage Clients” page as well as by the Sub-Agency Administrator.

 

Staff member leaves the agency:

Reassign clients to multiple staff

When a staff member leaves, their caseload can be reassigned to one or more staff members.  

  • Admin > Users
  • Locate the user you wish to transfer clients from and click the blue “Edit” button
  • On the “Edit User” page, locate and click the blue “Reassign Clients” button
  • In the “Reassign Clients” window, select if you wish to:
    •  Assign clients to one user or add them to the unassigned client pool.
    • Assign clients to different users or add them to the unassigned client pool.
      • If assigning all clients to one user or the unassigned client pool, a dropdown menu will appear that will allow you to select another user to assign all clients to or designate the client “Unassigned.” 
      • If assigning each client to a different user, a table will appear that displays all the clients on the user’s caseload.  You can select a different user each client is assigned to or designate the client “Unassigned.”
  • Once your selection(s) is made, click “Reassign”
  • The clients will be reassigned to the designated user(s) and the client(s) will appear in the active caseload.  If the clients are designated “Unassigned,” they will go to the unassigned client pool where they can be assigned to a staff member later. 
  • To exit the “Edit User” page, click “Cancel” at the bottom of the page.
     

 

Delete user account

When a staff member leaves, their account can be deleted.  When the account is deleted, you will be prompted to reassign the clients on their caseload.

  • Click the “Admin” tab.  
  • In the dropdown menu, click “Users.”
  • Locate the user and click the red “Delete” button.
  • The “Reassign Caseload” pop-up message will appear that asks, “This user cannot be deleted until their caseload is reassigned. Please select a specific user to reassign all clients to or select “Unassigned” to place all clients on this user’s caseload in the “Unassigned Clients” pool.
  • Select a staff member or “Unassigned” from the drop-down menu.
  • Click “Reassign.”
  • If a staff member was selected, the clients will be reassigned to the selected staff member and will be listed on their “Manage Clients” page.   If the clients are designated “Unassigned,” they will go to the unassigned client pool where they can be assigned to a staff member later.
  • If clients need to be reassigned to multiple different staff members, use the instructions in the “Reassign clients to multiple staff” section above to reassign clients individually.
