To add a new Client, select "Clients" from the navigation menu and select "Manage Clients" from the dropdown menu. Or click the "Manage Clients & Assign Tools" tile on the dashboard.
- On the "Add and Manage Clients" page, locate and click the “+Add Client” button.
- In the “Add New Client” window fill in the following information for your client:
- First Name
- Last Name
- Email (this is not required)
- SMS Phone (this is not required)
- Voice Phone (this is not required)
- User Name (you can choose how to generate the Client’s User Name by selecting “Generate User Name” or “Use email as User Name”. The "Generate User Name" option is helpful if your client does not have an email address.)
- If you track Dosage in your agency, enter the Dosage Hours your client is to receive. The entered hours are tracked and displayed via the Dosage Meter on the client’s “Manage Client Assignments” page.
- The client will automatically be "Active." Uncheck the box next to "Active" if you do not wish to make the client active at this time.
- If the client does not have an email or cannot receive text messages or if you feel they will have trouble setting their own password, you may set their password for them by checking the box next to this statement.
- Once the box is checked, a password field will be revealed so that you may enter a password for your client.
- Note that if you choose to set the client's password, they will not receive a notification letting them know their password. You must communicate your client login credentials (username and password) directly to the client.
- Select the type of notification your client will receive notifying them of the account creation, either an email notification, a text notification, or both. Note that each staff member can send up to 250 text messages per month.
- Click "Save."
- Once the account is set up, an email, text, or both will be sent to your client notifying them of the account creation.
- After clicking "Save", you will be taken to the client's "Manage Client Assignments" page. Refer to the next section for an overview of the features of this page.
“Manage Client Assignments” Page
Each client has a “Manage Client Assignments” page that allows you to:
- Edit the Client’s contact information and preferences and reset their password.
- Click on the "Edit Client Information" link next to the Client’s name to edit their information or reset their password.
- View a log of emails that have been sent to your client.
- Click the email icon next to "Email:"
- The "Email Log" window will appear where you can view the emails that have been sent and if they have been sent successfully.
- View a log of the text messages that have been sent.
- Click the phone icon next to "SMS Phone:"
- The "Text Message Log" window will appear where you can view the text messages that have been sent and if they have been sent successfully.
- Track and manage a client’s dosage received via the Dosage Meter (the Dosage Meter is only available to those with a TOD Deluxe license).
- The Dosage Meter displays the total hours of dosage received.
- Dosage for completing Carey Group Publishing tools is entered when a client completes a tool.
- Additional dosage may also be entered and tracked.
- Have a quick snapshot of a client’s assignment history.
- Tools Waiting for Review shows a list of tools that have been submitted by the client that need to be reviewed by you.
- Tools in Progress shows the tools that have been assigned to the client and those that have been started by the client.
- Reviewed Tools show all of the tools a client has completed.
