Accessing Submitted Assignments
After a Client completes an assignment, an email will be sent to you notifying you that the assignment/tool is ready for review. You can access the submitted tool by:
- Clicking on the link provided in the email. This link will take you directly to the tool to be reviewed.
- From the “Tools Pending Review” display on the “Client Assignment Status” page
- From the navigation go Clients > Client Assignment Status
- Locate and click “Tools Pending Review”
- The “Tools Pending Review” list will display below
- Click “Review” from the “Action” column and you be taken to the tool to be reviewed.
- From the “Tools Waiting for Review” section of the Client’s “Manage Client Assignments” page
- From the navigation go Clients > Manage Clients
- Locate the client whose tool needs to be reviewed
- Click the blue “View and Manage” button
- On the Client’s “Manage Client Assignments” page, click the “Tools Waiting for Review” section
- Click “Review” from the “Action” column and you be taken to the tool to be reviewed.
Reviewing Assignments
After you have looked over the submitted tool, there are three tool review options available.
- Tool Part Comments
- As you look over the tool, you have the option to leave part-specific comments on the tool.
- Next to each part of the tool, a red comment bubble is visible.
- Click the red comment bubble.
- A comment window will appear.
- Add your comments for this part and click “OK”.
- The comments you added will display on the tool along with the date the comment was made and your name.
- When a client accesses the reviewed tool, all notes made to the client will be visible.
- The client can reply to the part notes that were added.
- Review
- When the “Review” button is clicked, the “Tools Completion Status and Dosage Obtained” window appears.
- In the “Tool Completion Status” section select:
- If the “Tool was successfully completed”
- When selected, if there is another tool available in within the Guide, you will be able to assign the next tool.
- You can leave comments for your client about the work they did on the tool.
- When you click “OK” the tool will be marked as complete, and the completed tool will display with a green checkmark next to it in the client’s “Tools Completed” section on their dashboard and on their “Manage Client Assignments” page.
- If the “Tool still needs work or is incomplete”
- When selected, you have the option to “Reassign Tool”
- You can leave comments for your client about the work they did on the tool.
- When you click “OK”
- If “Reassign Tool” is not selected, the reviewed tool will display with a yellow caution symbol next to it in the client’s “Tools Completed” section on their dashboard and on their “Manage Client Assignments” page.
- If “Reassign Tool” is selected, the “Tool Reassign” window will appear.
- Enter a new “Due Date” for the tool reassignment.
- Add a “Note to Client.”
- Select the “Tool Reassignment Mode.”
- Select how the client needs to be notified of the tool reassignment.
- Click “OK.”
- The tool will be reassigned, and the client will be notified of the assignment.
- If the “Tool was successfully completed”
- In the “Default Dosage” section (note: this section only appears for users with a TOD Deluxe license) select:
- The default dosage for the tool will display
- The dosage is automatically selected as an “Assignment” but can be changed to “1:1 work” if the tool was worked on together with you and the client. Or “Both” can be selected if the tool was completed with a combination of independent work or working together.
- The dosage amount can also be changed. Increments in 5 mins are available to select from.
- The default dosage for the tool will display
- Work Together
- If the “Work Together” button is clicked, this selection allows you to work together with the client on the submitted assignment.
- The previously submitted tool goes into “Edit” mode and allows you to type directly in the submitted tool.
- Once you are finished working together, click “Save work completed together”
- You will be asked if you would like to mark the tool as reviewed.
- Select “Yes” and you will be routed to the “Tool Completion Status and Dosage Obtained” window where you can fill out the completion status and dosage outlined in the “Review” section above.
- Select “No, not at this time” and the work you did with the client will be saved. The tool will remain in the “Tools Waiting for Review” section of the Client’s “Manage Client Assignments” page and within the client's dashboard in the “Completed Work” section.
- The client can reopen the tool to add to the work you completed together by clicking “Review Submitted” in the action column. Then click “Reopen”. The tool will reopen and the client can expand upon any responses they have added.
- Print – This allows you to print a hard copy of the submitted tool.
